Digital Inclusion

  1. Summary

    This privacy notice relates to the Council’s Digital Inclusion device donation programme.  It provides additional information that specifically relates to this particular service, and should be read together with our general privacy notice.

  2. What personal information does this service use?

    • Basic details about you such as your name, date of birth, postcode and contact details.
    • Socio-economic information such as your employment status, and if you are in receipt of means-tested benefits.
    • Legal or immigration status such as asylum status.

    We also use the following special category personal information:

    • Health and support information including if you have a long-term health condition or disability, and whether you are a carer.
  3. What is your personal information used for?

    We use your personal data to

    • determine eligibility and prioritise residents most in need
    • contact you about your application
    • monitor, evaluate and improve the Digital Inclusion programme
  4. What is the lawful basis we are relying on?

    The lawful basis we rely on for processing your personal information is:

    • where it is necessary for the performance of our public tasks (Article 6(1)(e) of the UK General Data Protection Regulation (UK GDPR’)).

    We collect and use special category personal information by relying on the lawful basis that processing is necessary for the:

    • reasons of substantial public interest (Article 9(1)(g) of the UK GDPR) together with Schedule 1 of the Data Protection Act 2018
  5. Where has the personal information come from?

    Any personal information we hold about you will come directly from you or your referrer who is from a partner organisation e.g. community centre, NHS, housing association.

  6. How long will we keep your information?

    Our retention schedule sets out how long we keep personal information for.

    Applications will remain active for up to two years. If no device is allocated within that time, the application will be deleted.

    Where a device is allocated, we will retain a limited record of the award for six years in line with the Council’s retention schedule.

  7. Automated decision making

    Your personal data is not subjected to automated decision making or profiling.

  8. Your personal information and your rights

    You can find out more about your rights regarding the personal information used for this service. Your rights apply to the information held by the Council as a data controller, and the information we hold on behalf of the other data controllers.
