  2. What personal information does this service use?

    This service uses personal information, such as:

    • Name, gender and date of birth, and information about your household make-up
    • contact details (postal address, telephone number, email address, etc.)
    • Information you have told us about your physical and mental health/wellbeing, and any restrictions you have in terms of mobility in the home.
    • details of comments or complaints regarding any developments or schemes that may contain personal data, which are passed to us from third parties
    • Financial information, including bank account details, rent and council tax arrears, debts, and where relevant information relating to property ownership, financial standing or credit history in connection with compensation assessments and relocation assistance.

    We also use the following special category personal information:

    • race
    • ethnicity
    • sexual orientation
    • disability

  3. What is your personal information used for?

    The Council uses your personal data for the following purposes:

    • to enable us to respond to comments made during public consultations
    • to understand and assess residents housing needs and requirements
    • in order to issue invoices to licence, tenancy or leaseholders in connection to particular City Council assets
    • to maintain our records and accounts
    • to make contact with residents in relation to a proposal/scheme or invite them to consultation events
    • to prepare statistics and for research on population trends. This will only be done using anonymised information
    • to make payments to residents and companies

  4. What is the lawful basis we are relying on?

    We collect and use this information where it is necessary to perform our public tasks (Art. 6(1)(e) of the General Data Protection Regulation ‘GDPR’), you, or your legal representative, have given consent (Art. 6(1)(a) of the GDPR), you have entered into a contract with us (Art. 6(1)(b) of the GDPR) or it is required by law (Art. 6(1)(c) of the GDPR).

    We collect and use special category personal information for reasons of substantial public interest based upon the law (such as carrying out our public tasks) (Art 9(2)(g) of the UK GDPR.

  5. Where has the personal information come from?

    The personal information we hold is usually collected directly from you. This may be through public consultations, surveys, compensation applications, or when you complete documents such as licences and other legal agreements. We may also receive personal information from organisations acting on our behalf, such as consultation and engagement specialists, and from publicly available sources, including the Land Registry and Companies House.

    We may also receive information from other Council services where this is necessary for the delivery of our services. In some circumstances, and with your agreement, information may be obtained from credit reference agencies as part of relocation assistance assessments.

  6. Who will we share your personal information with?

    Where necessary and appropriate, we may share your personal data with the organisations listed below. Any sharing will be carried out securely and in accordance with data protection legislation.

    • Joint Venture partners - for example Far East Consortium. This will be necessary in instances where contact needs to be made with companies, individuals or their representatives.
    • Other Council Departments - such as Housing Services, Development and Legal Teams. This is where it is necessary to support the delivery of regeneration projects, help meet housing needs, or obtain specialist professional, commercial or legal advice.
    • Third party organisations carrying out services on behalf of MCC - for example contractors working on the delivery of new housing which residents have moved into or consultant companies appointed to lead on resident engagement and communications

  7. How long will we keep your information?

    Our records retention schedule sets out how long we keep different types of information, before it is deleted and destroyed confidentially. This helps us comply with our legal obligations and protect the interests of both you and the Council.
