Welfare Call explained

What is Welfare Call?

Manchester Virtual School requires all PEPs to be completed electronically.

We use a company called Welfare Call to host the ePEP. They also monitor the attendance of our young people. The records held by Welfare Call are secure and confidential. 

Who has access to Welfare Call?

Social workers and designated teachers have access to the ePEP and are able to add and edit information.

Designated teachers can delegate access to other members of staff in their education setting.

Independent Reviewing Officers (IROs) have read only access.

How can I log on to the website?

We provide Welfare Call with a list of all social workers, designated teachers and IROs.

Welfare Call then emails you with your login details.

Please inform us of any changes by emailing virtualschool.education@manchester.gov.uk

This will prevent any delays in setting up accounts and completing PEPs.

How do I delegate access to another member of staff?

You can add another user by clicking on and following these steps:

  1. EPEP

  2. DT/SW Delegation

  3. Enter name and email address of the new user
     
  4. Request set up

This is only for additional members of staff in the educational setting or for a student social worker.

The designated teacher and social worker remain responsible for checking the final content and ‘clicking complete’.

If there is a change in DT or SW, please inform us by emailing virtualschool.education@manchester.gov.uk

Which sections do I complete?

You can find your caseload by clicking on EPEP and then ‘My case summary’.

Once you have accessed the PEP the colour of each tab indicates who is responsible for completing each section.

The red sections are completed by the designated teacher.

The blue sections are the responsibility of the social worker.

The purple sections are to be completed by both the designated teacher and the social worker.

Saving information

The ePEP does not have an autosave function and information must be saved per page.

If you are inactive for more than forty minutes Welfare Call will log you out and information will not be saved.

We recommend that you regularly save each page so that your work is not lost.

If the you are timed out, press the save button and contact Welfare Call who will be able to retrieve your work.

Completing the PEP

When you have added all the necessary information you will need to press the ‘click when completed’ button situated at the top of the ePEP.

Manchester Virtual School ask that all PEPs are completed and submitted within 10 working days of the meeting.

Once the PEP has been signed off we will quality assure the document and send you feedback.

The completed PEP can then be found in the ‘previous PEPs’ section and the system will provide a new PEP form for the next meeting.
